192 - Clustering of Tasks Into Performance Pulses with Wilson Lawrence


Most people don't realise they are working against their brain function by doing the wrong tasks at the wrong time, resulting in decreased efficiency and effectiveness in their business and personal lives.

Are You Busy?

Often, people will get home and say it's been such a busy day, but they never stop and ask how effective and efficient they have been.

Everyone is quick to tick items off their to-do list, but many only achieved 20% of what they wanted to accomplish. 

Prefrontal Cortex

The prefrontal cortex has five primary functions:

  1. Understanding
  2. Recall
  3. Inhibiting
  4. Memory
  5. Deciding 

The more you use the prefrontal cortex, the faster it runs out of energy; therefore, you should be doing more mentally draining tasks at the beginning of the day and not wasting energy doing low energy tasks. 

The Performance Pulse

The idea of the performance pulse is to have 90-minute sessions of pure concentrate work with no distractions. 

You need to take a passive or active recovery break between each performance pulse. Going on Facebook is not a recovery break because it uses mental energy. 

Different Tasks & Mental Energy Usage

Deep Thinking Tasks: These are high-energy tasks, such as planning, strategising, analysing, assessing, writing and working on spreadsheets. These tasks require your total concentration. 

Meeting Tasks: Look at all the meetings. How many are there, how long do they go for, and when are they planned? Can you reduce the time and move them to later in the day, not in the mornings when you focus on your deep thinking tasks. 

Routine Tasks: These are low-energy and do not require a lot of thinking energy, such as emails and returning phone calls. 

Think About Your Patients

As the practitioner, are there certain types of patients or services you should see earlier in the day and others later in the day? 

In regards to the patient, think about their mental energy as well. If it's towards the end of the day, has the patient got any mental energy left? Consider this when you're explaining a treatment plan. 

The more treatment options you give a patient, the more mental energy required to DECIDE. 

"A confused mind says no, and so does a tired mind".

Clustering of Performcnae Pulses

To begin, look at which 20% of your tasks will give you 80% of the results you desire? 

Next, ask yourself the focusing question. What's the one thing I should be doing right now that will make everything else easier or unnecessary.

Deep Thinking Tasks are your first performance pulse and should be done in the morning, twice. (2 x 90-minutes), followed by active or passive recovery breaks, each 15-minutes. 

After lunch, do your Meeting Tasks and plan your Routine Tasks towards the end of the day.

If checking emails are essential, you can schedule them before your recovery breaks at the end of each performance pulse. 

 And when it comes to emails, there should be no double-dipping. If you open it, you immediately take action, and you do not return to it a second time. 

Holidays

When you take a holiday, do not neglect your travel companions or family; however, you can have a performance pulse when on holidays as long as you have scheduled it in and have planned it with your family.
